NCSL’s member confidentiality policy prohibits NCSL from selling attendee information.

NCSL does not contact attendees or exhibitors directly to solicit attendee lists. If you are contacted by a vendor who claims to represent NCSL, do not act on it, and please notify [email protected].

There is no nonprofit rate through Freeman or any vendor through the Kentucky International Convention Center. Be sure to order everything needed for your booth prior to July 12 for the best prices.

All costs are listed in the exhibitor kit. For estimating purposes, below are some basics you may need. For a full quote, including labor and material handling, you will need to fill out an order via the exhibitor kit or reach out to Freeman directly. Freeman also offers a Basic Booth Package that covers the essentials. Look for that option in the Exhibitor Kit, or create your own package with the exact items you need!  

• 10-by-10-foot carpet, $248 ($347 after July 12 discount deadline). 
• 6-foot-long-by-30-inch-high draped table, $195 ($273 after July 12). 
• Limerick chairs, $80 ($112 each after July 12). 
• One wastebasket, $23 ($32 after July 12). 
• 24” LED display monitor, $300 ($390 after July 12).  
• One 5-amp outlet, $111 ($158 after July 12).

Deadline to accept exhibit space agreements is July 12, 2024, or earlier if exhibit space should sell out.

Should you cancel before June 3, 2024, 50% of your payment will be refunded. No refund will be provided for any cancellation received after June 3, 2024.

You can serve mini/packaged food products–for example, mini candy bars or mints. Anything larger must be ordered through the Kentucky International Convention Center caterer. Their order form is in the exhibitor kit under “specialty contractors.”

NCSL provides access to email and web browsing for attendees and exhibitors. We suggest purchasing higher strength internet for streaming. The order form is in the exhibitor kit under “specialty contractors.”

You may choose to ship your booth materials through a third-party service. There is no business center in the Kentucky International Convention Center. The two closest options are FedEx (315 W. Market St.) and UPS (325 W Main St. Suite150). Reach out to them directly for pricing and arrangements. This is often cheaper than going through Freeman; however, you will be responsible for getting your materials to your booth space without the help of any Freeman labor. 

Full-time employees of exhibiting companies may hand-carry their own materials into the exhibit facility. The use or rental of dollies, flat trucks, pallet jacks or other mechanical equipment is not permitted.  

Freeman controls access to the loading docks to provide for a safe and orderly move-in/out. Unloading or reloading at the dock of all contracted carriers will be handled by Freeman. Therefore, if you choose to hand-carry in your items, you must do so through the Second Street Employee entrance of the Kentucky International Convention Center.

Full-time employees of exhibiting companies may set their own displays without the assistance of the Stagehand Local Union. Any services required beyond what your regular full-time employees can provide must be rendered by the union or an exhibitor-appointed contractor. Labor can be ordered online in advance via the exhibitor kit or at the show site from the Freeman Service Center.

Exhibitors can reach a Freeman representative through the Exhibitor Kit. Once you login, click “Show Contacts” on the main page or “Contact” in the top right corner. There is also a live chat feature in the bottom left corner. Exhibitors can also call the customer service line, (800) 005-3579.

No, NCSL does not need to collect EACs or Certificates of Insurance (COI). When logging in to the Exhibitor Kit, you will search by your organization name, then be prompted to enter your contact information and whether you are an Exhibitor or an EAC.

EACs are allowed in the exhibit hall only during set up (Monday, 8 a.m.-5 p.m.) and tear down (Wednesday, 3-7 p.m.). EACs are not allowed in the hall during show hours. EACs do not need to register for a badge. Upon arrival at the Kentucky International Convention Center, all EACs must check in with Freeman at the loading docks and enter and exit through the back of the hall.

If your organization has someone coming to set up your booth on Monday but they don’t plan to attend any show hours Tuesday and Wednesday, you do not need to register them. Since these people will not have an exhibitor badge, they must go to registration to pick up a “move in only” temporary badge. This temporary badge will allow them in and out access into the Hall on Monday, 8 a.m.-5 p.m.

Order online here. The eShowLeads app enables exhibitors to capture and qualify leads directly from their phone. Surveys can be customized and at the end of the show; exhibitors will receive an Excel file that includes attendee contact information (name, email, job title, company name, state) and any notes/qualifying info that was recorded onsite. 

Priority points determine the order in which exhibiting companies choose a booth location for the following year’s Legislative Summit. Booth sales for the top companies with the most priority points will begin in June via virtual meeting. Sales will continue in person in the Exhibit Hall in Louisville. Each company’s exhibitor contact will receive an email in June with next steps.
