Exhibitor FAQs

NCSL’s member confidentiality policy prohibits NCSL from selling attendee information.

NCSL does not contact attendees or exhibitors directly to solicit attendee lists. If you are contacted by a vendor who claims to represent NCSL, do not act on it, and please notify [email protected]

Between 6,500 and 7,000 attendees.

All costs are listed in the exhibitor kit. For estimating purposes, below are some basics you may need.

  • 10-by-10-foot carpet, $377.
  • 10-by-10-foot carpet padding single layer, $255.
  • 6-foot-long-by-30-inch-high draped table, $291.
  • Standard chair, $122.
  • One wastebasket, $25.
  • 24-inch LED display monitor, $350.
  • One 30-amp outlet, $430.

Yes, flooring is required for all exhibitors. Flooring can be of any material such as carpet, turf, or vinyl. Exhibitors may provide their own flooring or order it through the Exhibitor Kit.

The deadline to accept exhibit space agreements is July 11, 2025, or earlier if exhibit space should sell out.

Should you cancel on or before June 3, 2025, 50% of your payment will be refunded. No refund will be provided for any cancellation received after June 3, 2025.

The BCEC has very strict regulations on who can serve food, including samples or bite-sized prepackaged portions, in their booth. See the full outline of rules here. You can order food and beverage through the exhibitor kit.

NCSL provides complimentary internet access that will allow for email and web browsing for attendees and exhibitors. We suggest purchasing higher-strength internet for streaming. The order in the exhibitor kit.

You may choose to ship your booth materials through a third-party service. A FedEx is located in the BCEC; reach out directly for pricing and arrangements. This is often cheaper than going through Freeman. However, you will be responsible for getting your materials to your booth space without the help of any Freeman labor. 

Full-time employees of exhibiting companies may use ONLY hand-operated equipment (two-wheeled hand trucks or four-wheeled flat trucks) to carry their own materials into the exhibit facility. The use or rental of dollies, pallet jacks or other mechanical equipment is not permitted by anyone other than Freeman.

Freeman controls access to the loading docks to provide for a safe and orderly move-in/out. Unloading or reloading at the dock of all contracted carriers will be handled by Freeman. Therefore, if you choose to hand-carry in your items, you must do so through the front entrance of the BCEC.

Full-time employees of exhibiting companies may set their own displays without the assistance of Freeman or union labor. Any services required beyond what your regular full-time employees can provide must be rendered by the union or an exhibitor-appointed contractor. Labor can be ordered online in advance via the exhibitor kit or at the show site from the Freeman Service Center.
